Vacations are meant to bring joy.
However, preparing for a trip isn’t always a breeze. Many need to coordinate with work schedules or school breaks. Nearly 40% of American families own a dog, equating to about 65 million individuals who must find pet care if they travel without their pets – sometimes securing a spot at a reputable kennel is even tougher than booking your own hotel. Flight arrangements are a must, and increasingly, travelers encounter non-refundable tickets. If plans fall through, most can only hope to apply some of the cost towards future travels.
The cancellation of vacation plans can be frustrating, disheartening, and expensive, costing both time and money. Although trip insurance may seem like a safeguard, its limitations can be shocking when you find many reasons for cancellation are not covered. Just this year, my travel plans were disrupted by war and natural disasters, events that are difficult to predict or control.
But what’s even more irritating is to have your trip canceled by greed. This has also happened to me, as when you sign up for a group trip offered by a tour operator and then they come back and tell you that less people than they anticipated signed up and they don’t have enough guests to make the profit they want. So instead of delivering the offered trip you booked and put a deposit on, they pull the plug, refund your down payment, and leave you holding the bag for whatever other expenses or time loss you incurred. It might well be too late at this point to find an alternative trip.
There are a lot of tour operators, great, good, okay and bad, offering scheduled group trips for all different kinds of travel, all around the world, all the time. Right now, there are literally thousands of trips scheduled for the rest of 2024 and 2025 that you could sign up for. But only a small subset of these companies offers what the industry calls “guaranteed departures,” which means if you book the trip, it’s going, even if you are the only one and even if that means they lose money on you. What I learned the hard way was the value of seeking out those companies offering guaranteed departures.
As they say, there are no guarantees in life, and even the best policy is not going to stop a hurricane, earthquake, wildfire or invasion. But what it will stop is bad business judgment and planning on the part of tour operators, or those how throw a bunch of trips online and see what sticks.

In the travel industry, many reputable companies strike a balance between offering “guaranteed departures” and “nearly guaranteed departures.” Often, tour operators include a clause in their terms stating that a trip will proceed even with a single participant, but should fewer than a designated minimum number, such as four, enroll, an additional fee is charged to make up a small group. This information is usually provided upfront, allowing customers the choice to either pay the extra fee or cancel the trip for a full refund if they prefer not to pay it.
In most cases, if such a situation arises, customers end up experiencing a private tour for the cost of a group tour, which, even with the added fee, still often represents a good deal. Typically, it’s the more reputable companies that provide these types of flexible arrangements, offering options like switching to another tour date at a discounted rate or maintaining the private tour format for a slight increase in cost, along with the original option of taking the group tour later at a reduced price.
“Very few companies offer guaranteed departures,” said Chad Clark, a leading luxury travel advisor in the county, part of the elite Virtuoso network, and the proprietor of Chad Clark Travel in Phoenix. Booking through agents who are members of Virtuoso can result in special benefits like bonuses, upgrades, or discounts. These affiliations often include top-tier luxury hotels, cruise lines, and tour operators globally.
Clark arranges many “dream” vacations including safaris, unique destinations, significant sports and entertainment events, as well as active trips. Companies like Backroads and Butterfield & Robinson are noted for their reliable departure schedules in active travel. They offer a variety of trips including biking, hiking, and multisport adventures on private yachts and smaller ships, with different protocols for boat trips requiring higher minimums, while most trips maintain more reachable thresholds. Butterfield, however, has an interesting policy, charging an additional $1000 if the group is smaller than five, effectively turning it into a private excursion. For someone traveling with a plus one, this can be quite appealing, as the premium ensures a personalized experience.
Active travel, including cycling and hiking trips, has several great tour operators offering guaranteed departures. This is something you should inquire about when researching a trip or tour operator, or ask your travel agent/advisor if you choose to use one. There are many reasons to use a travel agent, including avoiding cancellations, missed flights, and other problems, as well as potentially securing better prices or upgrades. Some companies, like G Adventures, actively promote their guarantees, offering a wide range of guided group active and non-active trips globally, known for good value. G Adventures proudly states, “100% guaranteed departures. Pack those bags and don’t break a sweat because we guarantee every single one of our departures. As long as it’s safe, you’re going!”
However, in most cases, this information can be hidden in the small print, as seen in the terms and conditions of a leading luxury tour operator: “tour operator reserves the right to cancel any tour due to low enrollment.” Unfortunately, this is a more typical policy in the travel industry, even for luxury.
Conversely, when examining the website of Intrepid Travel, a respected small group tour operator and member of Virtuoso that offers everything from hiking and trekking to expedition cruises and culinary trips, I found exactly what I was looking for: “Our trips are guaranteed to depart once they have one fully paid customer unless minimum group size specifically states otherwise (which is stated in the trip page or on our website).”
Butterfield & Robinson, Backroads, and DuVine Cycling + Adventure Travel were all highlighted in the Travel + Leisure Magazine 2024 World’s Best Awards as top tour operators. DuVine’s vice president of sales and marketing, Deena Giancotti, explains their unique approach: if a tour isn’t confirmed at the time of booking, travelers are immediately informed, and DuVine discloses the number of participants needed to guarantee the tour. Most tours require just two guests to proceed, but some may need at least four. If the tour isn’t confirmed by a set date prior to departure, travelers can choose to pay extra for a guaranteed private tour, switch to another tour with a monetary incentive, or receive a full refund.
Tourissimo, known for cycling and hiking tours, focuses on Italy and caters to a U.S. audience. They’re noted for using unique small hotels and emphasizing regional cuisine, with a range of tours designed around gastronomy and hosted by renowned chefs. According to their spokesperson, Tourissimo ensures tours go ahead once two people register and unlike many competitors, they do not cancel low-enrolled tours, also maintaining smaller group sizes.
Cycling House, a Montana-based company with twenty years in the industry, organizes a variety of cycling trips in the U.S. and Europe. Their tours are priced more affordably compared to the previously mentioned luxury operators. I learned from the owner that they commit to running all scheduled trips, regardless of the number of participants.
An African safari is a high-ticket adventure, and selecting a reliable tour operator is crucial for ensuring your investment is protected.
Scheduled group trips are generally more affordable than the equivalent private trips with the same tour operator, attracting many due to the lower costs and the experience of traveling with new people. Opting for operators that guarantee departures ensures travelers won’t miss out. If fewer people join, one might enjoy a semi-private trip at a significantly reduced cost, enjoying luxury without the usual expense. Alternatively, switching to another date can keep the group experience intact, often with a good discount.
A person I know, along with a friend, joined a scheduled group tour organized by Micato Safaris. Esteemed as a leading name by many travel experts and a Virtuoso member, Micato stands distinguished as a top-notch provider in the luxury safari market, celebrated as the only recipient of the Travel + Leisure World’s Best Award for Best Safari Company ten times. Known for their pricey yet value-packed offerings, they deliver unparalleled service and authentic experiences. Travel expert Chad Clark mentions, “It’s pricey, but the splurge is justified as no one regrets the experience or wishes they spent less.”
On this occasion, the duo were the sole participants booked for the trip. Micato proposed a generous alternative if they opted for different dates, yet accommodated them on their preferred dates, offering a private safari at a fraction of the usual cost. Known for their ‘guaranteed departures’, Micato is renowned for sticking to their plans, ensuring no last-minute cancellations.
Dennis Pinto, the co-owner and president of Micato, emphasizes their dedication to customer satisfaction, “We commit to providing the best experience, regardless of the number of participants. Particularly for safaris, often seen as a once-in-a-lifetime journey, we avoid disappointments at all costs. This has guided our operations for over 60 years—even through the pandemic, ensuring that every booked safari proceeded as planned, regardless of participant numbers.”
Amen. That is as good as it gets.
Morocco is just one of many exotic destinations that lend themselves to luxury small group tours—but you want a guaranteed departure.
Among mainstream luxury tour operators outside active travel, few are better known than luxury provider and Virtuoso member Abercrombie & Kent, which offers guarantees on many of its group trips: “All Group Journeys excluding Wings Over the World Journeys, Luxury Expedition Cruises, Private Jet, Inspiring Expeditions by Geoffrey Kent and related extensions are guaranteed to operate with a minimum of two (2) persons unless noted on the itinerary. Guaranteed departures will operate except only in cases of force majeure, which could include any major world event adversely affecting international travel patterns or other circumstances beyond A&K’s control.”
Collette is another big global luxury tour operator, and direct competitor of Abercrombie & Kent, and a family-owned company with an excellent reputation, also a Virtuoso member. I asked them and got this reply: “When Collette guarantees a date to operate, it will operate regardless of whether they fill the departure or not (Many operators will eventually guarantee a departure to operate, after they’ve been able to sell most of the available seats. In some cases, they will not sell enough seats to operate profitably, so they may ask a traveler to move to another departure.)”
“Collette assumes all operational risks for the tours, ensuring that travelers need not worry about the certainty of their travel dates. This becomes crucial for those arranging accommodations or flights around their trips, as they can rely on the confirmed schedules. Collette offers an array of tour departures right from the season’s start, guaranteeing about 50,000 seats across 1300 unique trips for 2025. Looking further ahead to 2026, Collette leads the market with the highest number of guaranteed departures, offering over 14,000 seats, 90% of which are still open for booking. Highlighting their commitment, during the COVID-19 crisis, Collette uniquely refunded over $185 million in cash, not just vouchers. Additionally, due to the conflict starting in late 2023 between Israel-Gaza, they returned $25 million and have similarly handled other crises like 9/11 and California wildfires.”
Furthermore, Cox & Kings, a longstanding British luxury tour operator since 1758 and now a part of Abercrombie & Kent, also assures guaranteed trips. “85% of our group tours for 2025 are confirmed to depart regardless of the number of travelers, covering adventures from tracking sloths in Costa Rica to exploring ancient Greek ruins and the Silk Road cities in Uzbekistan.”
